Check-In/Check-Out
A check-in/check-out feature in a field sales application is a useful functionality that allows sales representatives to record their arrival and departure times when visiting clients, prospects, or job sites.
This feature helps track employee attendance, monitor time spent on client interactions, and provides valuable insights into sales activities.
How does such a feature work in a field sales application ?
1. Check-In Functionality:
Location-based Check-In: The application can use GPS or Bluetooth to detect the representative's location when they arrive at a client’s site or store. This helps ensure that the representative is actually on-site.
Manual Check-In: Alternatively, the user may be able to manually check in by selecting the client or site from a list of scheduled appointments or leads.
Time Tracking: The check-in time is recorded automatically once the representative confirms their presence. This data can be linked to the specific task or sales call for reporting purposes.
Client/Task Verification: Depending on the setup, the system may ask the sales rep to confirm the client’s name or the task they are going to perform, such as a sales pitch, demo, or delivery.
Status Updates: After checking in, the representative may have options to update the client status (e.g., "Meeting in Progress," "Waiting," "Closed").
2. Check-Out Functionality:
Location-based Check-Out: Similar to check-in, GPS or proximity-based technology can confirm that the sales rep has physically left the location.
Manual Check-Out: Upon finishing the meeting or interaction, the representative manually checks out via the app. This records the time they leave the site.
Time Tracking: The check-out time is logged in the system and the app calculates the total time spent at the location.
Task Completion: The rep may need to mark the specific tasks they performed, such as updating notes, entering orders, completing a demo, or scheduling follow-up actions.
Post-Visit Actions: The app can prompt the representative to upload any additional data (photos, client feedback, signed forms, etc.) after check-out.
Benefits of Check-In/Check-Out Feature
- Time & Attendance Management: Employers have the ability to monitor the hours worked at each client site, ensuring precise reporting and efficient payroll processing.
- Productivity Insights: The system provides the capability to produce reports regarding the amount of time spent by sales reps at each client or on particular tasks. These reports assist managers in examining sales productivity and improving schedule planning.
- Real-time Monitoring: Supervisors have the ability to monitor the whereabouts of representatives in real-time. This aids in planning routes, increasing productivity, and ensuring complete coverage.
- GPS Tracking & Compliance: In compliance-oriented industries, like pharmaceuticals, GPS check-ins/check-outs guarantee visits take place at the appropriate sites.
- Improved Communication: The sales reps can provide live updates about their visit status, allowing for better coordination with managers and back-office teams.
Security and Privacy:
User Authentication: The app should authenticate the sales rep to ensure only authorized personnel can check in/out.
Data Security: The location data, times, and any sensitive client information should be encrypted and securely stored to protect privacy.
Example Flow:
Rep arrives at client location:
Open the app and click on the “Check-In” button.
GPS confirms location, or rep selects client from a list.
Check-in time is recorded.
Rep completes the visit:
Check-out by clicking “Check-Out” in the app.
GPS confirms departure, or the rep manually checks out.
Task completion, data upload, and follow-up actions are logged.
This feature ensures that field sales teams are well-managed, efficient, and accountable, helping both the sales reps and managers with valuable insights and operational control.
In our Delta Sales App, Check-in Simply means your attendance to start a day with your work and Check out means after all the work has been done.
